How to Reduce a PDF to 200KB, 500KB or 1MB (Free, Online)

SnapPDF Team·

Many forms and portals refuse files above a fixed size: 200KB for an ID upload, 500KB for a job application, 1MB or 2MB for a visa or university form. If your PDF is larger, you need to shrink it without making it unreadable.

There is no magic button that guarantees an exact size, because the result depends on what is inside the file. But there is a reliable order of steps that gets most documents under the limit.

Why a PDF is large in the first place

What is insideTypical sizeCompresses well?
Plain text onlySmallNot much to gain
Photos and imagesLargeYes, this is where most savings come from
Scanned pages (each page is a picture)Very largeYes, especially with grey conversion
Many embedded fontsMediumSomewhat

A 10-page scan can be bigger than a 200-page text report, because each scanned page is a full-size picture.

  1. Open the Compress PDF tool and add your file.
  2. Leave the level on Recommended and press the Compress PDF button.
  3. Look at the result: it shows the size before and after, and tells you honestly if the file could not be made smaller.

Recommended balances size and clarity, and for most documents it is enough to get under 1MB.

Step 2: Use Strong if the file is still too large

If you are still above the limit, run the original file again with Strong. This shrinks images further, so check the pages afterwards to make sure the text and photos are still readable.

Step 3: Turn on grey conversion for black-and-white scans

If your document is a black-and-white scan, switch on Convert colours to grey. This can save a lot, but it removes colour, so do not use it for documents where colour matters, such as colour photos or highlighted forms.

Step 4: Remove pages you do not need

Sometimes the quickest saving is to send fewer pages. Use Remove pages to drop blank or irrelevant pages, or Extract pages to keep only the ones the form asks for. Then compress the result.

Step 5: Split the document if there is no way around the limit

If a portal only accepts files under a size and your document is long, split the PDF into parts and upload each part separately, if the form allows it.

What size should I aim for?

LimitWhat usually works
1MBRecommended compression, often enough for text with a few images
500KBStrong compression, plus grey conversion for scans
200KBStrong compression, grey conversion, and fewer pages

These are guidelines, not promises. Check the number shown on the result page, and if it is still above the limit, move on to the next step.

We collected the limits that Gmail, Outlook, Yahoo, iCloud, Proton, USCIS and IRCC publish themselves, each linked to its official page: PDF and attachment size limits.

Tips for smaller PDFs from the start

  • Scan at 150 to 200 dpi for text documents instead of 300 or 600.
  • Scan in black and white or grey when colour is not needed.
  • Insert images at a reasonable size before you create the PDF.
  • Merge only the files you need with Merge PDF.

Is my file safe?

Your file is encrypted in transit and at rest and deleted automatically, by default within 2 hours. We do not read it or use it to train AI. See the privacy page.

Frequently asked questions

Can I choose an exact file size such as 200KB?

No. SnapPDF Compress PDF works with three quality levels (Light, Recommended and Strong) rather than a target size. Try Recommended first, then Strong, and check the size shown in the result.

Why is my PDF still too big after compressing?

A PDF made mostly of text has little to compress, while a scan of many pages is large because every page is a picture. Split the file, remove pages you do not need, or turn on grey conversion for black-and-white scans.

Will compressing make the text blurry?

Text stays sharp. Compression mainly reduces the size of pictures inside the PDF, so photos and scanned pages lose some detail on the Strong setting.

Is it free?

Yes. You can compress PDFs without an account. Paid plans only raise the limits for heavy use.
